Vendor Application Information

1. The Event
Join us for the inaugural Meaford Lavender Festival on Saturday, July 19, 2025, from 11:00 a.m. to 5:00 p.m. This outdoor event will take place at the height of our French lavender bloom and will feature live music, food, artisan vendors, and a variety of workshops and demonstrations celebrating flowers, wellness, and community. Held rain or shine, this festival is the beginning of what will become an annual celebration of peak summer beauty in South Georgian Bay.
2. Applicants
Application Deadline: June 27 2025
Please fill out the application form below in full and list all items you intend to sell. Vendor approvals will be sent out by June 28 2025. We may contact you to request further details such as photos of your products.
Once your application is approved, we will ask for:
- Clear product photos for promotional purposes.
- Your logo, for inclusion in marketing materials.

3. Day of the Event
- Vendor setup begins at 9:00 a.m. and must be completed by 10:30 a.m.
- Event gates open at 11:00 a.m. and the celebration continues until 5:00 p.m.
- Tear-down begins after the last guests have exited. Early teardown is not permitted unless there is a personal emergency. If you sell out of product, we kindly ask that you remain set up until 5:00p.m.
4. What You Need to Bring.
This is an open-air event held in full sun, so please come prepared.
All vendors must bring:
- A 10' x 10' tent (or note in your application if you plan to bring a larger tent - space is limited and must be pre-approved).
- Tent weights or anchors - no staking into the ground.
- Your own tables and chairs. If you do not have tables or chairs, rentals are available - simply indicate your needs in the application form.
- A backdrop or tent wall for display, shelter from wind/sun, and to act as a divider between vendor and the pathway behind.
5. Notice of Acceptance
You will receive an email confirmation if your application is approved.
Once accepted, you will:
- Be sent a vendor agreement to sign.
- Be required to submit payment to secure your space.
Important: If payment is not received within 7 days of acceptance, your spot will be forfeited and may be offered to another vendor.
6. Fees
- 10' x 10' vendor space: $85.00 + HST
- Table rental: $15.00 + HST per table
- Chair rental: $5.00 + HST per chair

(Payment details will be sent with the acceptance email.)
Vendor Cancellation Policy (please read carefully):
- 25% of your fee is non-refundable upon payment.
- 50% of your fee is non-refundable if you cancel after June 18 to June 29, 2025.
- No refunds will be issued for cancellations June 30, 2025 or after.
7. Insurance & Alcohol Regulations
All vendors must provide:
- Proof of event/liability insurance in the amount of $2 million. Submit your certificate of insurance by June 19, 2025.

Vendors selling sealed alcohol (e.g., bottles for off-site consumption) must obtain a Special Occasion Permit and submit a copy to us no later than June 19, 2025.
Note: This event is not licensed for alcohol consumption on-site.
8. Security and Parking
Please note that no additional security will be provided onsite.
- Vendors are responsible for their own valuables and cash - we strongly recommend keeping these items on your person at all times.
- While volunteers may be available to assist with short washroom or food breaks, we cannot guarantee the safety of your booth or items during any absence.
Vendor parking will be available on the private driveway of the property, separate from the main event area. You will be directed to the appropriate parking spot by the event coordinator after setup. Only one vehicle per vendor booth is allowed in the parking area unless otherwise arranged in advance.
9. Noteworthy
Timeliness is essential. All vendors must arrive during the designated setup window (9:00–10:00 AM) and be fully ready by 10:30
Food vendors must:
-Possess a valid food handling certificate.
-Operate from an inspected kitchen.
Food trucks must:
-Have a functioning fire extinguisher.
*there is no water or power available. you will need to bring necessary tanks & generators.
Once accepted, all food vendors must complete the required Food Vendor Form through Grey Bruce Public Health found here.
We encourage sustainable practices - food vendors are strongly urged to use environmentally friendly, compostable, or recyclable serving materials whenever possible.
